Common Mistakes To Avoid

To ensure a smooth experience and prevent any complications, we have compiled a list of key considerations when using our system and engaging with our Gurus. 

1. Asking For Too Much In One Task

At Growth Bubbles, we designed our operations to empower entrepreneurs, enabling them to keep their businesses running 24/7.

That’s why all tiers include unlimited tasks per month—there’s no need to bundle multiple changes into a single task.

Our system is most effective when tasks are well-defined and focused on achieving a single outcome. A task should involve a small change, addition, or fix to a page or platform.

For clarity, keep to one task at a time. If you need changes across multiple pages on your website, these are typically separate tasks. For instance, if you need four new pages created, each should be submitted as an individual task.

If the pages are similar, we recommend completing one page first, gaining approval, and then submitting a follow-up task to replicate the approved page and outline necessary changes.

2. Submitting A New Task on An Existing Task Thread 

Avoid the temptation to submit a new task by replying to the communication thread of an existing one. Tasks sent this way are not logged into our system as standalone tasks and, as a result, can be easily missed.  

When you reply to an existing task thread—whether it’s for a completed or partially completed task—it can lead to confusion, lengthy conversation chains, and the risk of errors or omissions.  

To ensure your new task is managed effectively, always start a fresh email with a clear, descriptive subject line summarising the task, rather than continuing an existing conversation. Or use the task wizard on the portal or your chosen project management platform. This helps us provide you with the best possible service and keeps everything organised. 

3. Unclear Instructions

Unclear or confusing instructions is one of the main reasons for mistakes and delays.

We understand that as a busy entrepreneur, especially if you’re not technically inclined, it can be challenging to articulate exactly what you need. 

The steps below will help you streamline the process and ensure you articulate your task requirements properly:  

  • Context is King: As much as you can, let us know the purpose behind the task. Understanding *why* it needs to be done can greatly influence how we approach it.  
  • The One Task Rule: Stick to a single task per request to avoid complications or confusion.  
  • Itemise: Use bullet points to outline the key aspects you’re expecting, almost like a checklist for us to follow.  
  • Incorporate Visuals: Screenshots, videos, or examples can make a world of difference in conveying your requirements.
  • Keep it conversational: You’re interacting with real people, so there’s no need for lengthy, multi-page briefs. If you feel a task requires that level of detail, it might not be suited to this process.  

By following these principles, you’ll help us work more effectively and ensure your tasks are completed accurately and efficiently. 

4. Not Properly Referencing Related Previous Task

Each task is treated as a separate conversation in our system, so the guru handling your new task may not be aware of previous tasks unless they worked on them directly or have been provided with the Task ID#  to review.  

Even if the same guru handled your last task, it’s unlikely to be fresh in their memory given the volume of tasks they work on daily.  

To avoid errors and delays:  

– Provide clear and complete instructions for every task, even if it means repeating details from past tasks.  

– If referencing a previous task, clicking the checkbox that asks if it is related to an existing task,  is essential because then you can see a list of tasks to choose from, or simply include its Task ID# for easy lookup.  

This ensures tasks are handled efficiently and accurately. 

5. Missing Information We Need To Complete The Task

Imagine asking for a new landing page to promote your latest offer. You specify the layout and colours but forget to provide the headline, call-to-action, or images for the page.  

Without these key elements, our team will have to pause and ask for the missing details, placing the task in “Awaiting Your Reply” status. If it takes a week to respond, the task completion is delayed significantly, even though it could have been finished quickly with all the necessary information.  

Commonly missing details include:  

  • Login credentials  
  • Copy (e.g., headlines, CTAs, email sequences)  
  • Images or design assets  

Providing all the essentials upfront helps us deliver your tasks faster and more effectively. 

6. Updating Passwords Without Informing Us 

Regularly updating passwords is an excellent security practice, but if we’re using outdated credentials, we won’t be able to work on your task.  

To avoid delays, we recommend sharing passwords via LastPass. By updating the password in your LastPass account, we’ll automatically have access to the latest credentials.  

For FTP or hosting logins, notify us immediately after making changes. Without updated access, we may be unable to resolve or restore issues on your website promptly.

To ensure your enquiries reach the right team:  

  • Tasks sent via email should be sent to concierge@growthbubbles.com so they can be tracked and actioned appropriately.
