How To Request Task Via Project Management Tool

You can share your work requests with us via your existing project management tool like Asana, Monday, Trello, HubSpot, etc.

💡 Note: This is only available on the Elite Plan and any cost associated with adding a new member to your project management seat is covered by you.

Log into Your Project Management Tool

  • Open your project management tool (e.g., HubSpot, Asana, Trello, etc.).
  • Enter your credentials (email/username and password) to access the dashboard.

Working on Projects

There are two ways that you can add us to your workspace for us to work on your tasks:

A) A Dedicated Project Inside Your PM Environment (Recommended)

  1. Create a dedicated project called “Growth Bubbles Concierge” where all the tasks you want us to complete will be added on demand.
  2. Add your dedicated account manager to that project, and that’s it. Anytime you add a task under that project, assign it to your dedicated Project Manager and we will jump in and get to it.

B) Directly Into Your Existing Projects

You can also add your dedicated project manager directly into your new or existing project ecosystem so that you can assign tasks to them directly inside your existing projects or operations.

Requesting A Task

Regardless of which approach above you choose, once in the project and we have appropriate access, look for a tab or section labelled Tasks, To-Do List, Task Board, or similar.

Click on Add Task or Create New Task to start the request process.

1. Fill in Task Details

It is important to follow the T.E.E method when sending tasks via your project management tool as well, but you also have more capabilities with a project management tool.

    • Title/Name of Task: Provide a concise but descriptive and unique title (remember to include the “…TASK” type in the title).
    • Description: Include detailed information on what needs to be done, any context, expectations, and specific instructions.
    • Due Date: Specify the date by which you expect the task should be completed.
    • Priority Level: Select a priority level such as low, medium, high, or urgent.
    • Attachments: Add any relevant files or resources (e.g., brand guidelines, images, content, etc.).
    • Subtasks: If applicable, break the task into smaller subtasks (e.g., for an automation setup: “Create Landing Page” “Create Email Sequence,” etc.).

    2. Assign a Task to Your Project Manager

    • From the Assigned To section, choose the person (or team) responsible for completing the task.
    • If you are assigning it to multiple team members, ensure each person is marked with the relevant subtasks.

      Set Up Notifications

      • If the platform supports it (most do), turn on notifications so the assigned project manager and yourself get real-time updates on the task.
      • You may also want to set up automatic reminders for follow-ups.

      Onward

      In the comments section, provide any additional notes or clarify any points about the task.

      Mention if the task is part of a larger initiative or if it has dependencies (e.g., waiting on approval before proceeding).

      1. Save/Submit the Task
        • After reviewing all details, click Save, Create Task, or Submit to officially request the task.
        • If the task has dependencies (e.g., awaiting other team member input), you can link it to other related tasks in the system.
      2. Monitor the Task Progress
        • Once the task is created, regularly check for progress updates.
        • You can comment, provide feedback, or mark the task as Completed once finished.
        • Be sure to update the status as necessary to keep the workflow transparent.
      3. Review and Confirm Completion

      After the task is completed, review the deliverables, ensure all requirements are met, and confirm the final product.

      Once reviewed, mark the task as Completed or Closed.
